    If your fire alarm company is not responding to service calls, treat it as an active compliance problem rather than a customer service annoyance. Confirm the panel is still transmitting to a central station, document every unanswered request in writing, pull your records, and line up a licensed replacement contractor before you cancel anything.

    Most facility managers wait too long on this. The pattern is familiar. Calls go to voicemail, the tech who knew your building left, inspection season comes and goes, and one day the annual report never got filed. Nothing has broken yet, so nothing feels urgent.

    But an unserviced fire alarm system turns into a liability quietly. Trouble conditions sit unresolved, batteries age past their standby rating, and the paperwork your fire marshal expects stops arriving. Here are the mechanics of getting out, in the order that keeps you covered.

    Why your fire alarm company went quiet

    It usually isn’t personal, and knowing the reason helps you predict how the exit will go.

    Consolidation is the big one. Pye-Barker Fire and Safety alone completed 57 acquisitions in 2025 and now runs more than 250 locations across 47 states. When a local vendor gets acquired the phone number often survives. The dispatch queue behind it does not. Your account becomes one row in a national scheduling system, and the technician who knew where your remote annunciator sits is now covering three counties.

    The other reason is labor. In NFPA’s 2024 survey of fire and life safety professionals, half of skilled tradespeople named a shortage of qualified candidates as their top challenge, with 31 percent each pointing to retirement and workforce retention. A company can want to serve you and still have nobody to send. Some accounts also just get triaged when a shop is short two technicians.

    First, confirm you are still actually monitored

    Verify the signal path first. A silent vendor is an annoyance. A silent central station is an impairment. Call the number on the monitoring sticker, ask them to put your account on test, then trip a device and confirm they received the signal with the correct zone description. If the account was suspended for nonpayment, or the receiver line got dropped during an acquisition, you find out in four minutes instead of after a fire.

    While you have them, ask who is listed as the responsible contractor on the account, and what the last signal from your premises was. That second answer tells you whether anyone has been watching your trouble signals at all. Here is how UL-listed central station monitoring is supposed to work.

    Do these before you send any cancellation notice

    • Put the account on test and verify the central station gets a live signal with correct zone labeling.
    • Photograph the panel display, including any active trouble or supervisory conditions, with the date visible.
    • Put your service requests in email rather than voicemail, so the timeline exists in writing.
    • Locate your as-built drawings, sequence of operation, and last two inspection reports.

    What to collect before you leave

    This part decides whether your transition takes two weeks or two months. NFPA 72 Chapter 14 says the owner receives reproducible as-built drawings, O and M manuals, and a written sequence of operation at acceptance, then keeps those records for the life of the system. Much of it lives at the contractor’s office, and once you give notice it gets harder to pry loose.

    The renewal clause you probably haven’t read

    Monitoring and service agreements in this industry are commonly evergreen. They renew automatically unless you give written notice inside a defined window ahead of the anniversary date, often 30 to 60 days. Miss it by a day and you are in for another year.

    Read your agreement for four things: the initial and current renewal term, the notice window and the delivery method it requires, whether monitoring and inspection are one contract or two, and whether any equipment on your wall is leased. That last one stings. If the radio in your panel belongs to the vendor, they will want it back.

    Send notice by the method the contract names. If it says certified mail, use certified mail. An email to a rep who left two years ago is not notice.

    Who owns your panel programming code

    You own the system. Programming access, though, can be a practical monopoly if the panel is proprietary.

    Here is the distinction that gets stated wrong constantly. A non-proprietary panel is not one that anybody can service. It is a panel sold through multiple factory-authorized distributors who compete for your service work. Notifier, Fire-Lite Alarms, and Silent Knight sit in that category, which is part of why those platforms turn up so often in Triangle commercial buildings. A genuinely proprietary system is different. When the contract ends, the only company that can legally program your panel is the one you just tried to leave.

    Ask early, before you give notice. Is my panel serviceable by other authorized contractors, and what access level does programming take? If the answer is bad you still have options, but the timeline and budget both change. Commercial fire alarm control panels are generally planned on a 15 to 20 year service life, and parts availability rather than failure usually forces the replacement decision. A proprietary panel already past year 15 may be the moment to replace the system instead of fighting over passcodes.

    Which raises the misconception vendors are happy to let stand: switching does not mean replacing your panel. A transfer touches three things, the communicator, the account registration at the central station, and the service agreement. Your control panel stays. So do the initiating device circuits, the detectors, the pull stations, and the notification appliances. If the incoming contractor can get programming access and your communicator transfers, the physical work is frequently one visit. It gets harder when the old communicator only reports to that vendor’s station, or the panel still dials out over copper. Both get solved with a dual path cellular communicator.

    Do not let the cutover put you on a fire watch

    This is the expensive mistake. It happens when the old contract ends on a Friday and the new one starts on a Monday.

    The City of Raleigh Office of the Fire Marshal treats a required fire protection system non-functional for more than four hours in a 24-hour period as an impairment requiring a fire watch. Documented patrols every 15 minutes where there are sleeping occupants or in institutional and assembly occupancies, every 30 minutes elsewhere, by personnel with no other assigned duties who keep a written log. You notify your monitoring company and the Office of the Fire Marshal at 919-996-6392, then notify them again on restoration. The code basis is Section 901.7, Systems Out of Service, in the NC Fire Prevention Code.

    Fire watch personnel typically run $35 to $50 an hour scheduled in advance, considerably more on an emergency callout. Around the clock that lands near $840 to $1,200 a day. A three-day gap between contracts can cost more than a year of monitoring.

    The fix is sequencing. Overlap the accounts. Keep the old monitoring live until the new central station confirms a test signal on every zone, and only then cancel. Never the reverse. Fire watch rules are set by your AHJ, so if the building sits outside Raleigh, ask what threshold and patrol interval they enforce. Charlotte, for comparison, specifies hourly patrols and no four-hour trigger.

    How to vet the replacement contractor

    Check the license yourself. This trips up nearly everyone, because the intuitive answer is wrong.

    North Carolina General Statute 74D-3(a)(2) expressly exempts installation, servicing, and responding to fire alarm systems from Chapter 74D. So the NC Alarm Systems Licensing Board does not license fire alarm contractors here. The license you want comes from the NC State Board of Examiners of Electrical Contractors, classification SP-FA/LV, Special Restricted for Fire Alarm and Low Voltage. Qualification takes at least two years of experience, one year of it primary. You can search any contractor in the board’s public license database in about a minute, and it is the best single filter you have.

    Then ask about the work model. In-house licensed technicians, or subcontractors? Who picks up at 2 a.m.? Who uploads the annual inspection report to the city? In Raleigh, third-party fire protection inspection reports are filed electronically through The Compliance Engine by the contractor who did the work, not by you. Your building stays out of compliance until that upload happens. Confirm how a prospective contractor handles it before you sign, and ask whether your building would have a named technician assigned. Vague answers there become voicemail later.

    Can I cancel my fire alarm monitoring contract if the company stopped responding?

    Usually yes, but read the agreement before you stop paying. Most contracts require written notice in a specific window and by a specific delivery method, and non-performance claims go better when you have a documented trail of unanswered emailed service requests. Keep monitoring active until a replacement is receiving signals.

    Do I have to replace my fire alarm panel to switch companies?

    No. A transfer involves the communicator, the central station account registration, and the service agreement. The panel, detectors, and notification appliances stay put, provided the incoming contractor can obtain programming level access.

    How do I verify a fire alarm contractor is licensed in North Carolina?

    Search the NC State Board of Examiners of Electrical Contractors public license database and look for the SP-FA/LV classification. The NC Alarm Systems Licensing Board does not cover fire alarm work, because N.C.G.S. 74D-3(a)(2) exempts it, so an alarm board license alone does not qualify a company for fire alarm service.

    Why your commercial fire alarm keeps false alarming

    A commercial fire alarm that keeps going off with no fire is a maintenance and design problem, not bad luck. The usual causes are contaminated detectors, devices mounted in the wrong airflow, and sensors that have drifted outside their listed sensitivity range. Correct those three conditions and the activations stop.

    That is the whole answer, and most facility managers already suspect it. The expensive part is what happens next. The standard response to a nuisance activation is to silence the panel, reset it, and get back to work. Nobody writes down which device tripped. Three weeks later it happens again, and by then the detail that would have solved it is gone.

    So let’s go through what is actually happening inside your system, what the pattern costs you, and the specific work that ends it.

    What counts as a false alarm, and what does not

    People use “false alarm” for two very different events, and the distinction matters because the fix is different.

    An unwanted alarm is a real alarm signal from a working device that responded to something other than fire. Burnt toast in the breakroom. Steam rolling out of a shower room. Welding smoke on a tenant build-out. The detector did exactly what it was listed to do. The problem is the device selection or its location.

    A malfunction is a signal with no stimulus at all. A detector so loaded with dust that its chamber reads scatter as smoke. Water in a conduit body shorting an initiating device circuit. A relay contact that has welded. Here the device itself is the problem.

    Nationally, the split is not subtle. In 2024 U.S. fire departments spent 8.0 percent of their total incident responses on false alarms and 3.7 percent on actual fires, according to USFA’s NFIRS data. Departments respond to more than twice as many false alarms as fires, and that share has held near 8 percent for years. It is not improving on its own.

    The six things actually tripping your system

    Across commercial buildings in the Triangle, the same short list accounts for nearly everything.

    1. Particulate loading

    Dust is the single most common cause in warehouses, distribution space, manufacturing, and anything under renovation. A photoelectric detector fires when particles inside its sensing chamber scatter light onto a photodiode. Fine dust scatters light the same way smoke does. The detector is not broken. It is reporting what it sees.

    2. Airflow and detector placement

    NFPA 72 requires a minimum of 36 inches between a smoke detector and an air supply diffuser. That rule gets broken constantly, and almost never by the original installer. It gets broken later, when an HVAC change or a tenant build-out puts a new diffuser three feet from a device that was compliant the day before. The detector now sits in a jet of conditioned air that carries whatever the return is picking up.

    3. Steam and humidity

    Water vapor scatters light. Shower rooms, dishwashing areas, humidified server rooms, and pressure-washing bays all generate enough of it to alarm a spot smoke detector. Kitchens are their own category: NFPA 72 sets a 10-foot minimum from stationary cooking appliances, and the 2025 edition tightened requirements for detectors sitting between 10 and 20 feet by requiring devices listed to the newer cooking-nuisance-resistant standards.

    4. Insects

    Spiders and small flying insects get into sensing chambers and produce an optical signature indistinguishable from smoke. North Carolina’s humidity and long insect season make this a real seasonal pattern here, not a curiosity. Spring and fall are when these calls cluster.

    5. Sensitivity drift

    Detectors do not fail cleanly. They get gradually more sensitive as the chamber contaminates, until the device is alarming on conditions it ignored two years earlier. This is exactly what sensitivity testing exists to catch, and it is the test most commonly skipped.

    6. Wiring and water intrusion

    Ground faults, moisture in outdoor or unconditioned raceway, corroded terminals, and aging end-of-line resistors all produce activations and trouble conditions that look random until somebody meters the circuit.

    The pattern worth noticing

    • Five of those six causes are environmental, not electrical. Replacing a detector without changing its environment buys you a few months.
    • The two that are cheapest to fix, cleaning and sensitivity testing, are the two most often deferred.
    • If activations cluster in one area of the building, it is a design issue. If they move around, it is a maintenance issue.

    What repeat activations actually cost

    The fine, if your jurisdiction charges one, is usually the smallest number in this equation. False alarm fee schedules in North Carolina vary widely by municipality and several of them apply only to burglar alarm response, so confirm your own exposure with your local fire marshal’s office rather than assuming. The costs below apply everywhere.

    Evacuation time. Run the arithmetic on your own building. Occupancy times average loaded hourly rate times the full evacuate-and-re-enter cycle, which is rarely under 30 minutes once you count the time it takes people to actually get back to work. A 120-person office at a $45 loaded rate loses roughly $2,700 per event. That is before you count a production line that has to be restarted or a restaurant that emptied at noon.

    Fire watch. This one surprises people, and we walk through it in detail in trouble signals and the fire watch clock. If a required fire protection system is out of service for more than four hours in a 24-hour period, the City of Raleigh Office of the Fire Marshal requires a fire watch with documented patrols every 15 minutes in sleeping, institutional, and assembly occupancies, or every 30 minutes elsewhere. You also have to notify your monitoring company and the Fire Marshal’s Office at 919-996-6392, and notify them again when the system is restored. Fire watch personnel typically run $35 to $50 an hour on a scheduled basis and considerably more on an emergency callout, so a weekend spent waiting on a part can cost more than the repair.

    Credibility. The one nobody budgets for. After the fourth or fifth false activation, people stop leaving. We wrote about that separately in alarm fatigue at work, because it is the failure mode that actually gets people hurt.

    The NFPA 72 work that prevents most of this

    Most nuisance alarm problems are prevented by inspection and testing that the code already requires and that plenty of service contracts quietly skip.

    One detail in that table gets misused. NFPA 72 does allow the sensitivity interval to stretch toward five years after two consecutive tests come back inside the listed range. That allowance was written for clean, stable environments. A dusty warehouse or an active manufacturing floor should never be on a five-year sensitivity interval, and if your current provider has you there, ask why.

    Detectors that test outside their listed range have to be cleaned and recalibrated or replaced. Blowing them out with compressed air is not that, and it drives contamination deeper into the chamber.

    When cleaning will not fix it

    Sometimes the device is simply wrong for the space. That is a design conversation, and it is the one that ends the cycle permanently.

    • Multi-criteria detection. Devices that combine photoelectric sensing with heat, and in some cases carbon monoxide, and only alarm when the signature actually looks like combustion. These have made the biggest practical difference in dusty and steamy spaces.
    • Heat detection where smoke does not belong. Loading docks, boiler rooms, kitchens, and welding areas usually want rate-of-rise or fixed-temperature heat detectors. Slower to alarm, but they alarm on fire rather than on Tuesday.
    • Beam and aspirating detection for big volumes. High-bay warehouse ceilings are a bad place for spot smoke detectors. Projected beam detectors and air-sampling systems cover the volume properly and tolerate dust far better.
    • Alarm verification and cross-zoning. Programming that requires a device to confirm before the panel goes into alarm. Useful, and frequently either not enabled or enabled where it should not be.
    • Relocation. The cheapest fix on this list. Moving a detector six feet out of an airstream solves more problems than any device swap.
    • Construction dust covers, and a process for removing them. A capped detector reports normal to the panel. It does not generate a trouble signal. Every renovation needs a written list of which devices were covered and a walk to confirm they came off.

    What to ask before you sign another service agreement

    Four questions will tell you most of what you need to know about whoever is servicing your system now.

    Can you show me the sensitivity test results from the last two inspections? If the answer is vague, the test probably was not performed. The readings should be documented per device.

    Which device caused each activation in the last 12 months? A provider who is actually working your account can tell you. Panel history holds it.

    Are we on a two-year or five-year sensitivity interval, and why? The answer should reference your building’s environment, not a billing default.

    Who submits our inspection report to the city? In Raleigh, under Ordinance No. 2015-492, third-party fire protection inspection reports are filed electronically through The Compliance Engine by the contractor who did the work, not by you. Your building stays out of compliance until that upload happens. Plenty of owners find out only when a deficiency notice arrives.

    Why does my commercial fire alarm go off in the middle of the night with nobody in the building?

    Overnight activations usually point to environmental change rather than occupancy. HVAC setback shifts airflow across detectors, humidity climbs, and insects are most active. Pull the panel history for the exact device and time, then check what mechanical equipment cycles at that hour.

    How often should commercial smoke detectors be cleaned?

    NFPA 72 does not set a fixed cleaning interval. It requires sensitivity testing, and cleaning when a device falls outside its listed range. In practice, dusty warehouse and manufacturing environments need cleaning annually or more often, while a conditioned office can go considerably longer.

    Can I just disable the detector that keeps going off?

    No. Taking a required device out of service creates an impairment. Depending on how long it stays out and what your AHJ requires, that can trigger fire watch obligations and notification duties, and it exposes you if a real fire starts in that space.

    Does my insurance care about repeat false alarms?

    It can. Documented deficiencies and systems left impaired are exactly what a carrier’s loss control review looks for, and many commercial property policies carry protective safeguards conditions tied to a working fire alarm or sprinkler system. Clean inspection records are the cheapest insurance argument you have.

    Who is responsible for false alarms in a multi-tenant building, the owner or the tenant?

    Almost always the owner or property manager, because the fire alarm system is base building equipment. Tenant activity is frequently the cause, which is why build-out coordination and a post-construction device walk belong in your lease and construction rules.
